This Privacy Policy describes how A Priori Solutions LLC (“we,” “our,” or “us”) collects, uses, stores, and shares personal information when you use the VoxStat application, website, and related services (collectively, the “Service”). VoxStat is a voice-narration-based sports statistics platform that allows users to record game narrations via a mobile application, which are then processed into player and team statistics.
This Privacy Policy applies to all users of the Service, regardless of location. We are committed to protecting your privacy and handling your personal information in compliance with applicable data protection laws, including the European Union General Data Protection Regulation (GDPR), the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), and other applicable U.S. state privacy laws.
By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. Where we rely on consent as a legal basis for processing your personal information, we will obtain your consent at the time of collection.

We collect the following categories of personal information:
When you create an account, we collect the information provided through our authentication provider, Auth0 (Okta, Inc.). The only personally identifiable information we store for user accounts is your email address. We do not collect or store your Google account password or other Google profile information beyond what is necessary for authentication.
When you use the VoxStat mobile application to narrate a game, your voice is recorded as an audio file. During recording, audio is streamed in real time to AssemblyAI, Inc. for voice-to-text transcription. The resulting audio file is uploaded to and stored in Microsoft Azure Blob Storage (located in the United States). The text transcription may be further processed by Microsoft Azure OpenAI services for analysis. Both the audio file and the resulting text transcription (in both raw and corrected forms) are stored as part of the game record. Audio recordings and transcriptions are retained according to a data retention policy set by the subscription administrator, with the following available options: deletion when the game is marked final, deletion 7 days after the game is marked final, or deletion 30 days after the game is marked final. Game event data, including player names, actions, and scores, is extracted from the transcriptions and stored as part of the game record. Statistics are not stored; they are calculated in real time on user demand from the stored game event data.
We collect and store game event data generated from your narrations. The only personally identifiable information stored for players is first name, last name, familiar name (e.g., a nickname or shortened name used during narration), and jersey number. We also store team names and game scores. Statistics are calculated in real time on user demand from the stored game event data and are not persisted. This data is associated with the subscription account under which the game was created.
If you subscribe to VoxStat, we collect billing information necessary to process your subscription through our website. Payment processing is handled by Stripe, Inc.; we do not directly store credit card numbers or full payment account details on our servers.
We may collect information about the device you use to access the Service, including device type, operating system version, and unique device identifiers. We may also collect usage data such as features accessed, session duration, and error logs to help us diagnose technical issues and improve the Service.
Our website may use cookies and similar tracking technologies to maintain your session, remember your preferences, and analyze usage patterns. We use only cookies that are strictly necessary for the operation of the Service or that support legitimate analytical purposes. We do not use cookies for third-party advertising or cross-site tracking. You can manage your cookie preferences through your browser settings. Disabling cookies may affect the functionality of the Service.
If you are located in the European Economic Area, United Kingdom, or Switzerland, we process your personal information only where we have a valid legal basis to do so. The legal bases we rely on are:
Contract Performance: Processing your account information, transcriptions, and game event data is necessary to perform our contract with you (i.e., to provide the Service you have subscribed to).
Legitimate Interests: We process device and usage information to maintain and improve the Service, diagnose technical issues, and ensure security. We have assessed that these interests are not overridden by your data protection rights.
Legal Obligation: We may process personal information where necessary to comply with applicable laws, regulations, or legal processes.
Consent: Where required by law, we will obtain your consent before processing your personal information for specific purposes. Where consent is the legal basis, you have the right to withdraw consent at any time by contacting us at privacy@vox-stat.com. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
We use the information we collect for the following purposes:
Providing the Service: Processing your voice narrations into game event data, calculating statistics on demand, displaying statistics to authorized users, and managing your account and subscription.
Improving the Service: Analyzing usage patterns and error data to diagnose issues, fix bugs, and improve the functionality and performance of the Service.
Communications: Sending you service-related communications such as account verification, subscription confirmations, technical notices, and security alerts. We do not send marketing communications without your opt-in consent.
Compliance and Security: Complying with legal obligations, enforcing our terms of service, detecting and preventing fraud, and protecting the rights, safety, and property of our users and the public.
We do not use your personal information for automated decision-making or profiling that produces legal or similarly significant effects on you. The AI-powered transcription and statistical extraction performed by the Service is a data processing function and does not make decisions about you as an individual.
Game event data and statistics calculated from narrations are visible to other users associated with the same subscription account. Subscription administrators control user access within the subscription.
Subscription accounts may generate team-specific, view-only URLs that can be shared with anyone. Recipients of these links can filter and view statistics for game narrations created by subscription accounts in which the specified team participated. These links provide read-only access and do not grant access to account settings, transcriptions, or data for games in which the specified team did not participate.
We share information with the following categories of third-party service providers, solely to the extent necessary to operate the Service. Where required by applicable law, we maintain data processing agreements with these providers:
Authentication: Auth0 (Okta, Inc.) processes account authentication and sign-in credentials.
Voice-to-Text Transcription: AssemblyAI, Inc. receives audio streams and audio file uploads for real-time and batch voice-to-text transcription. AssemblyAI’s handling of audio and transcription data is subject to its data processing terms.
AI Processing: Microsoft Azure OpenAI services receive text transcriptions for analysis. No audio data is transmitted to Azure OpenAI. Azure OpenAI’s handling of transcription data during processing is subject to Microsoft’s data processing terms.
Audio Storage: Microsoft Azure Blob Storage stores audio files in the United States. Audio files are encrypted at rest using AES-256 encryption under Microsoft-managed keys.
Payment Processing: Stripe, Inc. handles subscription billing. Stripe receives only the billing information necessary to complete transactions.
Hosting and Infrastructure: We use cloud hosting providers to store and serve application data.
We may disclose your information if required to do so by law, in response to a valid legal process (such as a subpoena, court order, or government request), or when we believe in good faith that disclosure is necessary to protect our rights, your safety, the safety of others, or to investigate fraud or a security incident.
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information prior to the transfer, and any successor entity will be bound by the terms of this Privacy Policy with respect to your previously collected personal information.
We do not sell your personal information as defined by the CCPA/CPRA or any other applicable state privacy law. We do not share your personal information with third parties for cross-context behavioral advertising. We do not trade or rent your personal information to third parties for their marketing purposes.
The Service is operated from the United States. If you access the Service from outside the United States, including from the EEA, UK, or Switzerland, your personal information will be transferred to and processed in the United States and potentially other jurisdictions where our service providers operate.
For transfers of personal information from the EEA, UK, or Switzerland to the United States, we rely on appropriate legal mechanisms to ensure adequate protection of your personal information, which may include the European Commission’s Standard Contractual Clauses (SCCs), the UK International Data Transfer Agreement or Addendum, or a relevant adequacy decision. You may request a copy of the applicable transfer mechanism by contacting us at privacy@vox-stat.com.
Audio recordings and transcriptions are stored together and retained according to a data retention policy configured by the subscription administrator. Available retention options are: deletion when the game is marked final, deletion 7 days after the game is marked final, or deletion 30 days after the game is marked final. The same retention policy applies to both the audio file and the associated transcription (in raw and corrected forms).
Audio files are stored in Microsoft Azure Blob Storage in the United States and are encrypted at rest using AES-256 encryption under Microsoft-managed keys.
Game event data extracted from transcriptions is retained as part of the game record for the life of the subscription or until the game is deleted by an administrator. Game events, statistics, and highlights are not deleted by the audio and transcript retention policy. Statistics are calculated in real time on user demand from stored game event data and are not persisted.
Retention after a subscription ends. If a subscription lapses, is cancelled, or is refunded, the organization's data remains viewable in read-only form for fourteen (14) days. During this period we send reminder emails to the organization's administrators. If the subscription is not renewed within that period, the organization's data—including games, statistics, transcriptions, and audio recordings—is copied into a secure, access-restricted archive and then removed from the active Service. Renewing before the end of the fourteen (14) day period cancels the scheduled removal and restores full access. If a subscription is instead paused, the organization's data is preserved for the duration of the pause with no scheduled removal, and access is restored when the subscription is resumed.
Archived data. The archive described above is a compressed copy of the organization's data, stored in Microsoft Azure Blob Storage in the United States, encrypted at rest, and accessible only to platform administrators. Archives are retained for no more than three hundred sixty-five (365) days, after which they are permanently deleted. We will delete an archive sooner upon a verified request (see Section 10), and we retain an archive longer only where required by law. An administrator may restore an organization from its archive during the retention period by contacting us.
Account information is retained for as long as your account remains active. If you request account deletion, we will delete or anonymize your personal information within thirty (30) days, except where retention is required by law or for legitimate business purposes such as resolving disputes or maintaining financial records as required by tax or accounting regulations.
Billing and transaction records are retained for the period required by applicable tax and accounting laws, typically seven (7) years, after which they are securely deleted.
Device and usage data used for diagnostics and service improvement is retained in anonymized or aggregated form and is not linked to individual user accounts after anonymization.
We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include: encryption of all data in transit using TLS/HTTPS (including audio uploads, API communications, and streaming transcription connections); encryption of audio files at rest in Microsoft Azure Blob Storage using AES-256 encryption under Microsoft-managed keys; access controls limiting who within our organization can access user data; and regular review of our security practices.
However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. In the event of a data breach that poses a risk to your rights and freedoms, we will notify you and the relevant supervisory authorities in accordance with applicable law.
Depending on your jurisdiction, you may have some or all of the following rights regarding your personal information:
Access: You may request confirmation of whether we process your personal information and, if so, obtain a copy of it.
Correction: You may request that we correct inaccurate or incomplete personal information.
Deletion: You may request that we delete your personal information, subject to certain legal exceptions. While you can still sign in, you may delete your account directly within the app. If your organization's data has already been archived following the end of a subscription (see Section 8), you may request permanent deletion of that archive by contacting us; we will action verified requests without undue delay.
Data Portability: You may request a copy of your personal information in a structured, commonly used, machine-readable format, and where technically feasible, request that we transmit it directly to another service provider.
Restriction of Processing: You may request that we restrict the processing of your personal information in certain circumstances, such as while we verify its accuracy or assess a request to delete.
Right to Object: You may object to the processing of your personal information where we rely on legitimate interests as the legal basis. We will cease processing unless we demonstrate compelling legitimate grounds that override your interests.
Withdrawal of Consent: Where we rely on consent to process your personal information, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
Opt-Out of Sale/Sharing: We do not sell or share your personal information. If this changes in the future, we will provide a clear opt-out mechanism.
Right to Non-Discrimination: We will not discriminate against you for exercising any of your privacy rights.
To exercise any of these rights, please contact us at privacy@vox-stat.com. We will verify your identity before processing your request and will respond within the timeframe required by applicable law (generally 30 days under GDPR, 45 days under CCPA/CPRA, or as otherwise required).
If we decline your privacy rights request in whole or in part, you have the right to appeal our decision. To submit an appeal, contact us at privacy@vox-stat.com with the subject line “Privacy Rights Appeal.” We will review your appeal and respond within the timeframe required by applicable law. If you are not satisfied with our response to your appeal, you may contact your state attorney general or the applicable data protection authority.
If you are located in the EEA, UK, or Switzerland, you have the right to lodge a complaint with your local data protection supervisory authority if you believe that our processing of your personal information violates applicable data protection law. A list of EEA supervisory authorities is available at https://edpb.europa.eu/about-edpb/about-edpb/members_en.
We honor browser-based opt-out preference signals such as the Global Privacy Control (GPC) where required by applicable law. If we detect a GPC signal from your browser, we will treat it as a valid opt-out request for the sale or sharing of personal information associated with that browser.
The Service is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16 without appropriate parental or guardian consent, we will take steps to delete that information promptly. If you believe that a child under 16 has provided us with personal information, please contact us at privacy@vox-stat.com.
We have adopted the age of 16 to align with the GDPR default for consent to information society services and with heightened protections for minors under multiple U.S. state privacy laws.
The VoxStat mobile application requires access to your device’s microphone to record game narrations. Microphone access is requested only when you initiate a recording. You may deny or revoke microphone permission through your device’s settings at any time, but doing so will prevent you from recording narrations. The application does not access your microphone except when you actively initiate a recording session.
The application does not collect location data, access your contacts, or access your device’s camera, photo library, or files.
The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party services you access through or in connection with the Service.
If you are a California resident, you have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA). This section supplements the rest of this Privacy Policy with information specific to California residents.
Your rights under the CCPA/CPRA include:
Right to Know: You may request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which we collected it, the business or commercial purposes for collecting it, and the categories of third parties with whom we shared it.
Right to Delete: You may request that we delete personal information we have collected from you, subject to certain exceptions.
Right to Correct: You may request that we correct inaccurate personal information.
Right to Opt-Out of Sale/Sharing: We do not sell or share your personal information as those terms are defined under the CCPA/CPRA.
Right to Limit Use of Sensitive Personal Information: We use sensitive personal information only as necessary to provide the Service and do not use it for purposes that would require offering a right to limit.

Data Processing Agreements: We maintain data processing agreements with our sub-processors (as listed in Section 6.3) that comply with the requirements of GDPR Article 28.
Residents of states with comprehensive privacy laws, including but not limited to Virginia, Colorado, Connecticut, Utah, Oregon, Texas, Montana, Delaware, Iowa, New Hampshire, New Jersey, Tennessee, Minnesota, Maryland, Nebraska, Indiana, Kentucky, and Rhode Island, may have rights similar to those described in Section 10 of this Privacy Policy, including the rights to access, correct, delete, and port their personal information, as well as the right to opt out of targeted advertising, the sale of personal information, and certain types of profiling.
We do not engage in targeted advertising, sell personal information, or use personal information for profiling in furtherance of decisions that produce legal or similarly significant effects. If we decline your request, you may appeal by contacting us with the subject line “Privacy Rights Appeal” as described in Section 10.1.
Certain categories of personal information are classified as “sensitive” under various privacy laws. Voice recordings collected through the VoxStat mobile application may be considered sensitive personal information in some jurisdictions. We process voice recordings and transcriptions solely to provide the transcription and statistical analysis features of the Service. Audio and transcription data are retained only for the period configured by the subscription administrator (up to 30 days after a game is marked final). We do not use sensitive personal information for any purpose other than providing and improving the Service, and we do not use voice recordings to identify individuals by voiceprint or for any biometric purpose. Where applicable law requires opt-in consent for the collection of sensitive personal information, we will obtain such consent before processing.
Where required by applicable law, we conduct data protection impact assessments to evaluate the risks that our processing activities may pose to your rights and freedoms. These assessments are conducted before we introduce new processing activities or make significant changes to existing ones that involve personal information.
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by posting the revised policy on our website and updating the “Effective Date” at the top of this page. We will also provide additional notice for material changes, such as an in-app notification or email to the address associated with your account, at least thirty (30) days before the changes take effect. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Privacy Policy. If you do not agree with the revised policy, you should discontinue use of the Service and request deletion of your account.
